Essential contact information
Send the company name, the responsible contact, phone number and email. The client company can choose any person to approve decisions, but one designated contact keeps communication consistent.
Dates, scale and duration
Provide the preferred date or date range, estimated attendance and number of event days. Sertuin accepts meetings under 50 people as well as larger programs. Our direct operating experience includes two events of approximately 200 attendees; projects beyond that size are evaluated against venue and supplier capacity rather than promised without review.
Budget and venue
A realistic budget range helps the team compare options quickly. If the venue is already selected, Sertuin can integrate into the existing plan. If not, we can search for an appropriate space. For a large event, begin at least three months in advance when possible, although urgent projects can be evaluated on a compressed timeline.
Technical and catering needs
List sound, screens, staging, lighting, internet, branding and power requirements. Include menu expectations and dietary restrictions so the venue or food provider can confirm execution rather than assume.
Transport and accommodation
Transportation and lodging are not automatically included in an event quote. Sertuin can coordinate them when requested and also operates as a wholesale travel agency, but the normal corporate scope focuses on the event itself.
Response and deposit
A complete brief can often receive an initial estimate within two to three hours. That is an initial quotation, not a complete production proposal. The deposit is calculated from the final scope and project size; there is no universal amount.
