Confirm the alternative and its cost
The venue’s covered alternative must suit the guest count and event layout. Availability and possible relocation charges are discussed from the beginning. We manage that coordination but do not own the hotel’s alternative space or set its price. Keep the venue’s confirmed conditions with the wedding budget and contracts.
There is no fixed decision hour
The planner cannot promise that every decision will happen two, four or five hours before the ceremony. Timing depends on how the day begins, the latest forecast, rain intensity, wind and setup progress. The planner, couple and venue make the final decision together.
Light rain and unsafe weather
A few passing tropical drops do not automatically stop a ceremony. If the conditions remain safe, the officiant can finish the formal portion. Heavy rain, flooding, dangerous wind or a tropical system requires a covered location or another plan. Electrical equipment, sound, furniture and vulnerable décor are not intentionally exposed during severe conditions.
If weather changes during the event
If heavy rain begins during the reception, guests and operations move to the covered alternative. Assistants inform guests through a WhatsApp group or a designated family or company contact. Wind alone may be managed with appropriate reinforcement, but unsafe conditions always override the original layout.
Contracts and cancellations
The agreement should address rain, wind, hurricanes, reprogramming, cancellation and payments. The team first looks for a workable solution on the scheduled day, then an alternative date when necessary. A couple-initiated cancellation is governed by the contracts and payments already committed to external suppliers; we cannot promise refunds on another supplier's behalf.
An intimate ceremony with a larger guest group
A beach elopement normally includes the couple and up to eight guests. A larger group is quoted for the required vehicle, extra chairs, setup logistics and optional food, rather than one fixed price per person. For 20–30 attendees, we have no covered venue of our own: Plan B is an additional quotation. Confirm the group and details at least 15 days before; review the weather several days ahead when only one date is possible.
