The Weather Call decision process
When the outlook is unfavorable, we send a Weather Call the day before or about four hours before the event, depending on conditions. The client signs or gives an OK to continue in the non-dangerous conditions discussed. Safe rain can be accepted; extremely strong wind, cyclones, hurricanes and official coastal closures do not permit the event to proceed.
The team monitors conditions during the days before the event. Discuss all dates available during your stay and the covered option before committing to an outdoor-only plan. A better forecast benefits the couple; accepting rain does not permit operating in dangerous weather.
Why a rain percentage is not the final decision
A daily rain icon does not say whether rain will fall at the venue, at the proposal time or for the entire afternoon. Tropical showers can be short and highly localized. The team combines recent forecasts with direct conditions and official INDOMET and COE information.
No planner can guarantee sun, a particular sunset or zero wind. A reliable policy promises a decision process and safe alternative—not control over the Caribbean atmosphere.
Rain and dangerous weather are different decisions
A couple may accept rain that we consider safe through the Weather Call. We can carry out the proposal in those conditions. Lightning, extremely strong wind, tropical cyclones, hurricanes and official closures are a separate safety boundary; the client’s OK does not override it.
What the covered gazebo includes
A covered gazebo is included for standard proposals and elopements at our venue. We adapt the decoration to the space while seeking to retain its composition and volume. Confirm the expected layout with the coordinator; covered photographs have a different setting from an open beach.
This inclusion does not extend to a covered venue for an enlarged group of 20–30 guests. We have no covered space of our own for that group size; an alternative must be quoted separately. Wedding and corporate venues also set their own covered-space terms.
Rescheduling, cancellation and the US$200 reservation
Weather rescheduling has no change fee when we are available. Share every possible day of the stay so we can protect the surprise and light. There is no responsible promise of unlimited availability on a date already committed to another client.
If the client cancels, the US$200 reservation is nonrefundable. If we must cancel because authorities or extreme conditions make the service impossible and there is no workable date during the trip, we return the full reservation.
A late pickup, missed flight or no-show is not automatically a weather cancellation. Tell us immediately; the contract and actual availability determine whether the date can move.
What the client should do before traveling
- Reserve for the middle of the stay rather than the final evening when possible.
- Give us every available date and disclose flights, hotel changes and fixed dinner reservations.
- Keep WhatsApp and phone access available on the event day without exposing the surprise.
- Prepare sand-friendly footwear and a light layer that can handle wind or a short wait.
- Accept that safety decisions can remove fireworks, drone, smoke or another effect even if the main proposal continues.
- Do not pressure us to violate a COE restriction, beach closure or venue order.
Official weather sources
INDOMET publishes forecasts, alerts and marine-condition reports; the COE publishes civil-protection alerts and restrictions. We also observe the exact venue because regional forecasts cannot show every local shower.
Light and photographs after a delay
If daylight is running out, we shorten the toast and time seated at the table to prioritize photographs. If the couple arrives at night, lighting is provided and the change to night photographs is explained. Neither rain planning nor a later start can reproduce a sunset that has already passed.
