Light rain versus unsafe conditions
Some effects can operate in light rain, but the visual result may be weaker and guests may be uncomfortable. Strong rain, dangerous wind or another unsafe condition can make the plan unworkable. Helium balloons lose much of their impact in strong wind, and other outdoor effects can also perform poorly.
Who decides
The licensed effect specialist, venue and Sertuin Events evaluate the conditions together. The specialist's safety assessment carries the greatest weight because that provider is responsible for the technical effect. No coordinator should override an unsafe decision.
Before and after setup
If weather forces a date change before setup begins, the reschedule normally has no additional cost. Once equipment and decoration have been installed, moving or rebuilding can create an extra charge determined from the work already performed.
Waiting, moving or changing the reveal
If rain begins after setup, the team can wait for a passing shower to end when conditions remain safe. A beach plan can move to a villa only if the new reveal method is safe indoors. A colored cake filling, sealed message or another non-pyrotechnic option can work inside. Pyrotechnics and detonations must never move indoors.
Refund during the trip
If weather makes the reveal impossible throughout the client's stay, the deposit is returned. The team first reviews dates, locations and safe alternatives so the family still has a chance to celebrate.
Choose the Plan B before arrival
A villa often has no indoor area suitable for the original outdoor effect. Define in advance whether Plan B means waiting, changing the date, changing the location or using a completely different reveal method.
